5 CRITICAL AREAS
CORPORATE RISK MANAGEMENT
Lack of Staff Training Will Impact All Meetings & Events
Untrained staff will cost company time, money, and reputation
Here’s where knowledge gaps lead to
business mistakes, legal/financial/brand risk,
and missed opportunities.
Planning & Financial Impact
1. Define it… Objectives, Goals – Explain it. What’s it all about? Meeting/Event (who/what/why/when/where)
2. Budget Mismanagement – Don’t Underestimate or misallocate event costs.
3. Contract/Vendor Negotiation – RISKS: Legal, Missing terms, overpay, exposure/not knowing what to ask for.
4. Timeline/Project Mgt – Avoid disorganized/planning; avoid missed deadlines; overcome lack of response.
5. ROI Measure/Event Analysis – Identify key things to look for; impact evaluate; to DO’s/identify; reports to preparet.
6. Registration & Guest List Mgt – Don’t be Confused about RSVPs, waitlists, badges; identify best protocols – implement!
7. Sustainability – Identify company philosophy/compliance (affects site selection, catering, etc).
Execution & Onsite Delivery
1. Site Selection & Venue – Avoid choosing wrong venue; know hidden fees; know what to do
2. Onsite Coord & Flow – Avoid show-timing issues; what to look for; fix fast! Know/Learn run-of-show.
3. AV & Tech Integration – Learn how-to, who-to-ask; learn underused tools, tech failures, user X.
4. Emergency/Crisis – Learn how-to-be responsive; who-to-call! Learn preparedness; Crowd controls.
5. Team Roles/Internal Comm – Specify who/what/when/where. Avoid overlap, dropped tasks, manage stress; teach staff.
6. Logistical experience – Transportation, floor plans, recreation options
Attendee Experience
1. Event Technology – Understanding various platforms and their capabilities
2. Branding and Design – Influence and impact on attendees
3. Attendee Engagement – Boring formats, no interaction, unmet expectations.
4. Food & Beverage Plan – Ignored dietary needs, poor service timing.
5. Speaker & VIP – Miscommunications, missed deliverables.
6. Cultural Sensitivity – Offending global or diverse audiences unintentionally.
7. Sustainability & CSR – Wasteful practices, missed ESG goals.
Compliance & Risk
1. Risk Management – Don’t Ignore insurance, legal, permits, or union rules.
2. ADA & Accessibility Oversight – Know/Understand Who’s in audience? Don’t Fail/accommodate all attendees.
3. Data Privacy & Cybersecurity – Don’t Violate GDPR/CCPA, avoid attendee trust loss.
4. Branding & Communication – Review and Review again. No Inconsistent re “look/feel”; be aware of messaging.
5. Vendor Communication – Clarify Clarify …Don’t Misunderstand needs, deliverable schedule.
Growth & Relationship Building
1. Stakeholder Alignment – Review and Review Again…avoid conflicting expectations …manage/communicate last-minute changes.
2. Lack of Feedback Collection – DO surveys, debriefs, gain more audience insight.
3. Post-Event Follow-Up – Avoid missed thank-yous; develop leads/ask/nurturing people, think about what you can “upsell”.
4. Trends & Industry Updates – Avoid Falling-behind … tech, formats, preferences.
5. Professionalism & Confidence – Staff training and communicating constantly… to prevent staff not representing “the event” brand effectively.
Investing in staff training results in deeper understanding, better “COMPANY BRAND” management
planning, smoother execution = better organized process + productivity

BUSINESS IQ: UpSkill & ReSkill
The intelligent, curated training for developing, planning and executing Meetings& Events
1. Introduction –
Why Ed took an interest in this topic and how it affects companies bottom lines –
whose responsibility is it? HR? Learning & Development? Corp Communications
(budget to train)
1. Over 85% of EAs and Admins are tasked with the responsibility to plan meetings and events
2. About the same have not had any formal training
3. Companies lose money, reputation, diminishing returns, increasing risk –EAs are faced with enormous stress
2. Personal Story – Set the scene, what went wrong, why it happened, consequences.
Business Loss
For example: I was called out of the blue from the PR company planning the second Clinton Global Initiative.
They said, “we hear that you’re the “it” girl.
They went on to discuss the need for an organized, efficient and effective Registration process.
The first year of the conference, the prior year, was a disaster with people like Barbara Streisand and global CEOs standing in line for over 2 hours.
This affected live streaming, etc. as the Registration process was not prepared to handle the responsibility – no one realized what was entailed.
Key notes for Ed and Dianne to discuss:
1. they wanted to use a NEW technology
– Dianne insisted on printed lists – alphabetically, name, company, country, etc. and performed daily check
– Heads of State, Presidents (as in US), CEOs, etc. all had different demands
2. They didn’t hire me
They regretted it.
Was hired the following year
They copied our processes and so it goes!
3. Breakdown; Key Insights
1. How efficient registration processes impact perception and safety
2. The importance of a first impression
3. Realizing the data that can be captured in an efficient Registration platform
4. Lesson Learned:
The devil is in the details – management has NO time to pay attention to this and
has unrealistic expectations or are used to status quo and accept it.
Support staff have not been supported and yet in this area affect the company human capital –
staff, clients, customers, vendors, etc.
Who is responsible? HR? Corporate Communications? Marketing?
5. Call to Action –
Encourage companies to support training; Dianne’s “Boot Camp” (I will explain)
include the Certificate in L&D offerings and allow EAs, AAs the TIME to train themselves.
– Certificate can be an investment – corporate pricing
– Week long Boot Camp to train

We can discuss when you’re able next week and CHANGE or EDIT whatever works best for you and the Show.
- For our discussions, I’m going with the presumption that management (your audience) does not have the time to care about training EAs or AAs, but IS concerned with outcomes, results, and return.
- We will offer “food for thought”
- In the “DRAFT” Outline above, there is a list of 25 different topics.
- I’m thinking we focus on One topic each segment – a GUEST Speaker…… or one of your contacts.
-
- Based on a bi-monthly show, this gives us content for a good 10 months based on how we produce it.
- Based on a bi-monthly show, this gives us content for a good 10 months based on how we produce it.
- In the “Suggested Outline” Template for Global Business News, there is a “template” outline for our review – I’m thinking if the show has some type of format, it will keep me on track 🙂
– The Management Alert attachment could be an add-on to your website – up to you – to support
“The Gold Standard Certificate” which is how we are now referring to it.
- I’m working on a Dianne Devitt “Boot Camp” for Meeting and Event Planners that we will Launch on the Show
- I’ll also feature the Second Edition of my book
- “What Color is Your Event”
- Permission-to-Play Coloring Book (a wellness and stress tool for planners)
THANK YOU – I look forward to your feedback.
Best,
Dianne
